Job Description

• Responsible for overall C&P office administration related affairs
• Directing office services and related activities.
• Arranging and retrieving contractual, legal, and administrative files.
• Following contractual and legal Procedures according to approved regulations
• Preparing abstracts, MOM’s and regular reports according to management instructions
• Writing accurate letters in English and Farsi.
• Coordinating all tasks related to managers with different departments.
• Organizing and maintaining diaries and making appointments
• Dealing with incoming letters from the client or related departments and ….
• Dealing with required correspondence.
• Carrying out background research and presenting findings as required by the Manager.
• Organizing and attending meetings.
• Following up tasks as delegated by the manager. • Liaising with clients, suppliers, and other staff.
• Devising and maintaining office systems to deal efficiently with the paper flow.
• Organizing and storing paperwork, documents, and computer-based information.
• Issuing accounts documents
• Seasonal Purchase & Buy Report
• Prepared outgoing letters in Persian or English either related to the customers or internal correspondences and produced documents, presentations, reports, spreadsheets, etc.
• Responsible for documents control and archive •Coordinated meetings
• Performed bi-lingual translation of incoming/outgoing letters, tender documents, contracts, letters, etc.
•Attended meetings took & distributed notes, also tracked and followed up on meeting action items
• Petty cash holder
• Public affair duties including contact to National Iranian Oil Company regarding project report and transferring both parts requirements & issues
• Obtaining necessary permissions from different organizations related to project
• Execution Tender process according to company approved regulations from A to Z
• Cooperation with governmental organizations such as Iran National Oil Company (NIOC) or any other allocated organization

Requirements

• Bachelor degree in a relevant field • Minimum 8 years of experience in the same field with a proven track • Knowledge of the practical application of the Contract Management System • Demonstration of interpersonal skills including but not limited to communication skills, teamwork, flexibility and ability to work under pressure and time management • Knowledge of applying IT requirements such as electronic mail, database management, office, presentation, spreadsheet, and word processing software • Fluency in English
