• Greet and welcome guests as soon as they arrive at the office • Direct visitors to the appropriate person in charge • Answer, screen, and forward incoming phone calls • Update calendars and schedule meetings • Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing • Preparing 72h visa & Cable visa • Arranging for issuing/extending WP, RP, MERV, and family visa of expatriates • Applying visa for office members • Arranging ticket and hotel for guests and office members • Internal transportation arrangements • CIP arrangements • Translate the texts from English to Persian and vice versa • Writing commercial and administrative letters in both English and Persian Language • Preparing and managing correspondences, reports, and documents • Arrangement for health care insurance renewal contract & Set monthly appointments with a health insurance representative to collect the claims • Arrangement for yearly medical check-up • PCR test arrangements • Making daily, weekly and monthly reports • Preparing travel table and expatriates travel table reports • Tracking new global COVID-19 protocols • Track daily health status • Acting as the first point of contact: dealing with correspondences and phone calls • Managing diaries and organizing daily/monthly meetings and appointments • Liaising with staff, suppliers, and clients with high communication skills • Collating and filing expenses • Organizing MD’s personal commitments
Requirements
• Fluent in English
• 2+ years clerical experience
• High communication and relationship-building skills
• Knowledge of MS Office; expert in Word, Excel & Power Point
• Diary Management specifically experience in maintaining and prioritizing a manager's calendar
• Organisation and time management skills
• Deal promptly with correspondences
• Multitasking
