Executive secretaries must be quick professionals with great time-management and multi-tasking abilities. It is with their diligence and competence in their work that executives can focus on their managerial responsibilities without worrying for other tasks. The goal is to contribute to the efficiency of the overall business by ensuring all assigned administrative duties are carried on timely and efficiently.
• Provide full secretarial & administrative support.
• Follow up actions of meetings and prepare regular progress reports for management.
• Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages) and report to relevant person.
• Organize and coordinate calls, appointments, meeting, conferences, travel arrangements, maintain schedules, reminders, and calendars.
• Use computers for various applications, such as project management, database management, word processing, excel big data entering, PowerPoint preparation, getting information from Internet, Googling and searching.
• Type required letters and minutes of meetings internally and externally.
• Maintaining good relations with all managers, clients, and colleagues.
• Manage the project and update the required documents in the respective software.
• Coordinate with the client for their project.
• Coordinate with the third-party companies and their staff regarding the ongoing matters.
• Able to prepare Resume and LinkedIn.
• Websites preparation coordination.
• Group meetings schedule and supervise.
• Group task creation and assignment to group members in any given project.
• Perform any other duties defined by management for the business operation.
